Other Directory Functions

This topic describes the other available directory functions.

Editing Data Using Directories

You can edit chart information using the directory. Changes are automatically reflected in the chart.

To edit chart data via the directory:

1        With the Directory panel open, select a directory from the Directory drop-down list.

2        Choose a row in the directory. Click any cell in that row and enter the desired changes. Press Tab to advance to the next cell or press Enter when finished. Notice that the corresponding box in the chart is also updated.

Note: When you double-click the icon  to the left of a directory line, he box corresponding to that record is selected.

Emailing from Directories

You can send an email from a directory.

To send an email:

1        In the Directory panel, choose a directory from the Directory drop-down list.

2        Click the email address shown in any record.

Outlook or your default email client is automatically opened with a new message addressed to the recipient selected in your directory.

Adding and Deleting Records

The New Person function enables you to add an unassigned record to a directory

Note: The Delete Record(s) button  enables you to delete a record. If the record is associated with a box in the chart, the fields in the box are cleared but the box itself is not deleted.

To add a new person:

1        With the Directory panel open, select the desired directory from the Directory drop-down list.

2        Click the New Person button . A new row is added to the directory. The Display Option is automatically set to show Orphans.

3        Enter data in the fields for each new record. You can tab from field to field.

Notes: You can click on the Orphan icon  in any row and then drag it over any box in your chart. When you release the mouse button, a subordinate is added to the box. When you delete a box from the chart you can use the type Ctrl+Delete to add the box to the orphan list.
